Use the task board (kanban)

Drag tasks across To Do, In Progress, Blocked, and Done; filter by assignee, priority, or category; the order you set sticks for the whole team.

The task board is your dealership's shared to-do list, laid out in columns. Drag a card to update its progress, and the board remembers where you put it for everyone on the team.

The four columns

Every task lives in one of four columns, left to right:

  1. To Do — not started yet. New tasks land here.
  2. In Progress — someone is working on it.
  3. Blocked — stuck, waiting on something.
  4. Done — finished.

The number badge on each column header shows how many cards are in it. A finished card shows its title with a line through it.

Cancelled is a fifth status, but it is not a column. To cancel a task, open the card and use the Status dropdown in the task detail panel (see Cancel or reopen a task below). Cancelled tasks drop off the board.

Move a task across columns

  1. Hover over a card — a drag handle (the vertical "grip" of dots) appears in the top-right corner.
  2. Click and hold the drag handle, then drag the card to another column.
  3. Drop it where you want it — between two cards to set the exact position, or onto an empty column to add it to the end.

The move saves automatically. Dropping a card into Done stamps its completion time; the first time a card enters In Progress, its start time is recorded (kept thereafter for cycle-time reporting).

Drag from the grip handle, not the card body. Clicking the card body opens the task detail panel instead — that's where you edit the title, due date, assignee, priority, links, and comments.

Reorder cards within a column

  1. Grab a card by its grip handle.
  2. Drag it up or down within the same column.
  3. Drop it in the new spot.

The order is saved per column and persists for everyone on your team — so your most urgent cards can sit at the top.

Filter the board

Use the toolbar above the columns to narrow down what you see. The columns and their counts update live as you filter.

  1. Search tasks… — matches text in the task title or description.
  2. Assignee — pick a teammate, or choose My tasks to see only what's assigned to you.
  3. Priority — Low, Medium, or High.
  4. Category — Recon, Sales follow-up, Paperwork, Title, Delivery, Service, or General.

When any filter is on, a Clear button appears — click it to reset everything at once.

Filters only change what's shown on your screen. They don't move, hide, or delete any tasks, and they don't affect what your teammates see.

Create a task

Click New task (top-right of the toolbar) to add a card. New tasks land in To Do, and the assignee defaults to you. If you assign the task to someone other than yourself, they get a notification in their in-app inbox.

Cancel or reopen a task

  1. Click a card to open the Task details panel.
  2. Open the Status dropdown.
  3. Choose Cancelled to archive it, or pick another status to move or reopen it.

A Done or Cancelled task can be reopened — a cancelled task can only reopen to To Do, while a done task can move back to any active column (To Do, In Progress, or Blocked).

If a status change is blocked with a "Cannot move…" or "Cannot change…" message, that transition isn't allowed (for example, a Cancelled task can only be reopened to To Do). If you see a "Move failed", "Reorder failed", or network-error toast, the change didn't save and the card snaps back — check your connection and try again.

FAQ

Why did my card snap back after I dropped it?

The save failed — usually a brief network hiccup. The board shows a toast and restores the card to where it was. Try the drag again.

Does the order I set stick for my teammates?

Yes. Both the column a card is in and its position within that column are saved to your dealership's account, so everyone on the team sees the same layout.

How do I edit a task's title, due date, or assignee?

Click the card body (not the grip handle) to open the Task details panel. Make your changes, then click Save changes. You can also add comments and link the task to a vehicle, customer, lead, or deal there.

Where did my cancelled task go?

Cancelling archives a task off the board. To bring it back, open the card's Task details panel and set the Status back to To Do.

Can salespeople use the board, or just managers?

Anyone on the team — Owner, Manager, or Sales — can view the board, create tasks, drag cards, and filter. It's available on all plans.
