Create and assign tasks

Add a task with a title, due date, priority, and category, then assign it to a teammate who gets a bell notification.

The task board is your dealership's shared to-do list. Anyone on the team can create a task, assign it, and track it from To Do to Done.

Create a task

  1. Go to Tasks and click New task (top right of the board).
  2. Type a Title — this is the only required field (e.g. Order temp tags for the Civic).
  3. Optionally add a Description with the details.
  4. Pick a Priority: Low, Medium, or High. It defaults to Medium.
  5. Pick a Category to group the work: Recon, Sales follow-up, Paperwork, Title, Delivery, Service, or General. It defaults to None.
  6. Choose an Assignee (defaults to you) and set a Due date if there's a deadline.
  7. Optionally link a Vehicle so the task shows the car it relates to.
  8. Click Create task.

The new task lands at the bottom of the To Do column.

Only a title is required. Everything else is optional — but a due date, priority, and category keep the board sortable and easy to scan.

Assign it to a teammate

  1. In the New task dialog, open the Assignee dropdown.
  2. Pick the teammate who should own the task. It defaults to you.
  3. Create the task as usual.

When you assign a task to someone other than yourself, they get a bell notification ("New task assigned to you") that links straight to the board. Assigning a task to yourself does not send a notification.

You can reassign later. Click the task card to open its detail panel, change the Assignee, click Save changes, and the new person gets a bell alert — but only when it's a genuine change to a different teammate (not back to yourself and not the same person who already had it).

The Assignee list only shows active team members. If you can't find someone, they're either deactivated or haven't joined yet — invite or reactivate them under Settings → Team first.

What happens after you create it

  • The task appears on the shared board for the whole dealership — it's a team board, not a private list.
  • Drag the card between columns (To Do → In Progress → Blocked → Done) to track progress.
  • Every create, assignment, move, and completion is recorded in your audit log.

FAQ

Who can create and assign tasks?

Any signed-in team member — Owner, Manager, Sales, or Accounting. There's no special permission needed to add a task or assign it to a teammate.

Does the assignee always get notified?

Only when the task is assigned to someone other than the person creating it. If you assign a task to yourself, no notification is sent (you already know about it).

Can I create a task without a due date or category?

Yes. The title is the only required field. Priority defaults to Medium and category defaults to None — fill in the rest only when it helps.

Can I attach a task to a customer, lead, or deal?

A task can be linked to a vehicle right from the New task dialog. Tasks can also be linked to a customer, lead, or deal, and those links show up when you open a customer, lead, or deal record. The standalone New task form focuses on the vehicle link.

Where do my assigned tasks show up?

On the board under whichever column matches their status. Use the assignee filter at the top of the board — pick My tasks to show only the ones assigned to you, or pick a teammate to see theirs.
