Prepare and submit a title application
Create the title application from a deal, advance the title work to App prepared, then record that you submitted it to the state.
Every sold deal gets a title work record automatically. This page covers two actions: creating the title application (the filled form) and recording that you submitted it to the state.
Before you start
- The deal must be marked sold — that auto-creates the title work record and sets a due-by date (30 days after the sale by default).
- You need a Title Application form template under Forms. The seeded one is "Title & Registration Application (Worksheet)". If it's missing, the Create title application button is disabled.
A title work record is created automatically when the deal is marked sold — there is no separate "start title work" button. You'll find it on the deal's Review & print step (Step 5) and in the Title work list.
Create the title application
This generates the filled title & registration application and, when title work is still Not started, advances it to App prepared.
- Open the deal and go to Review & print (Step 5).
- Scroll to the Title application card.
- Click Create title application.
- You're taken to the generated form. It's pre-filled from the deal: owner, vehicle, lienholder, odometer, and sale details.
- If the title work was Not started, its status flips to App prepared automatically. (If it was already past that, the document is still created but the status is left alone.)
On the deal, "Create title application" both makes the document and advances the status, so you don't use the bare "Prepare application" button there — it's hidden on the deal's Review step. That status-only button still appears on the standalone Title work record (under Transitions) if you ever need to advance the status without generating the document.
If you see "No Title Application template found," there's no matching template under Forms. Click the Restore or create one under Forms link, add a template whose name contains both "title" and "application," then come back and try again.
Download the official state form
The generated form above is a worksheet. The official state title form downloads separately, from the document checklist on the same step.
- On the same Review & print step, use the document checklist card (above the title work panel).
- Download the official form from there.
Official state title forms are Florida-only today (for example, FL HSMV 82040), and they only appear when the deal's issuing state is set. For other states, use the generated worksheet plus your state's own form until that state is added.
Submit to the state
When you've sent the application to the DMV (mail, in person, or your usual channel), record it so the title work advances.
- On the deal's Review & print step, find the Transitions card in the title work panel (or open the record from the Title work list and use its Transitions card).
- Click Submit to state. This is available once the status is App prepared.
- The status moves from App prepared to Submitted to state.
Submit to state records the status only. There is no electronic filing to the DMV — the app does not send anything to the state. You still file the paperwork yourself; this button just tracks where the title is. Electronic filing is planned with a future title integration.
There's no "reference number" field at submission. The title number and issuing state are captured later, when you click Mark received after the title comes back from the state (both are optional and can be added later).
What happens next
From Submitted to state, the title work moves through these actions in the Transitions card:
- Mark received — the state issued the title. You're prompted for the title number and issuing state (both optional).
- Mark kicked back — the state rejected it (a reason is required). From there, Resubmit sends it back to Submitted to state.
- Send to lienholder — from Received, route the title to the lienholder.
- Complete — from Received or Sent to lienholder, finish the title work (this stamps a completed date).
Watch the aging badge — On track, Due soon, or Overdue — against the due-by date so titles don't slip past the deadline.
FAQ
Does "Submit to state" actually file my title with the DMV?
No. It records the status only. Nothing is sent to the DMV electronically — you still submit the paperwork through your usual channel. The button just tracks the title's progress. Electronic filing is planned with a future title integration.
Why is the "Create title application" button disabled?
You're missing a Title Application form template. Go to Forms and restore or create one (its name must contain "title" and "application"), then return to the deal.
Where do I enter the title number?
On the Mark received transition, after the state issues the title. It's optional — you can leave it blank and add it later. There's no title-number or reference-number field at the submit step.
Can I do this for states other than Florida?
You can create and submit the title work for any deal, but the official downloadable state form is Florida-only right now, and only shows when the deal's issuing state is set. For other states, use the generated worksheet plus your state's own form.
Who can create and submit the title application?
Owners, Managers, and Sales users see the Create title application button and the title-work transitions.
Where do I see all my titles in progress?
Open Title work from the dashboard. It lists every sold deal's title with its status and aging (On track / Due soon / Overdue). Click any row for the full detail and transitions.
