Official state forms (Florida)

Download the filled official state PDFs (Florida HSMV) for a deal from the Review & print step.

Official state forms are the real, fillable government PDFs for a sale. AutoDealer.io fills them with your deal data, flattens them, and hands you a ready-to-print PDF — one click per form. Today these are Florida HSMV forms only.

Official state forms are Florida only right now. A deal only shows forms when its issuing state is Florida. More states are added over time.

Download a filled state form

  1. Open the deal and go to the Review & print step (step 5 of the wizard).
  2. Scroll to the Documents to print & download card.
  3. Find the Official state forms · Florida group. Each available form is a checkbox row showing its form code (for example an HSMV number, in monospace) and name.
  4. Click Download on the form's row. It generates fresh from the deal's current data and downloads as a PDF.

Forms tagged with a deal type badge are pre-checked because they auto-include for this deal's type. The rest are listed but unchecked — check the ones you also need. (The check state only matters for the "Print / download selected" bundle below; each row has its own Download button regardless.)

Download several at once

  1. In the Documents to print & download card, check every form you want — across the Closing forms, Official state forms, and Uploaded documents groups.
  2. Click Print / download selected at the bottom of the card.
  3. You land on the Closing package view: the selected closing (HTML) forms render together for one browser print, and each selected official state PDF is listed under Official state forms (filled PDFs) with its own Download button.

The PDFs are always rendered fresh from the deal's current data — they are not archived snapshots. If you edit the deal and download again, you get the updated version.

Why a form isn't showing

A Florida form only appears in the list when all of these are true:

  • The deal's issuing state is Florida.
  • The form is active in the platform catalog.
  • A platform admin has uploaded the blank PDF and built a field map for it.

If you see "No fillable Florida forms are mapped yet," the official PDF hasn't been uploaded and field-mapped on the platform side yet. The message points to Admin → State documents — that's a platform-admin area, not something you can edit from the dealer app. Until a platform admin maps the form, it won't generate.

If the Official state forms group shows "Set this dealership's title issuing state under Settings → Deal defaults to enable official state forms," this deal has no issuing state. Set the default under Settings → Deal defaults → Default issuing state (Florida). The issuing state is stamped when a deal is created, so set the default first, then new deals inherit it.

Set your issuing state

  1. Go to Settings → Deal defaults.
  2. Under Title issuing state, set Default issuing state to Florida. (Leave it on "Auto (primary location)" to inherit from your primary location's state.)
  3. New deals inherit this state. The issuing state drives which state's documents and fees apply.

You can only pick a state you have a location in. If Florida isn't an option, add a location with a Florida address under Settings → Locations first.

FAQ

What states are supported?

Florida only today. The forms are the official Florida HSMV PDFs. Support for more states is added over time.

Does AutoDealer.io file these forms with the DMV for me?

No. AutoDealer.io fills and downloads the PDFs so you can print and submit them yourself. There is no live DMV/electronic filing here — title submission elsewhere in the app (the title work panel) is status-tracking only.

Are the downloaded forms editable?

No. The PDF is flattened after it's filled, so the values are baked in for clean printing. To change a value, fix it on the deal and download the form again.

Why is a form missing values or showing blanks?

A field only fills if the deal has that value resolved. Make sure the deal's money fields, buyer details, vehicle, and trade-in are complete, then download again. (Not every field on a form is auto-mapped — some are left blank by design.)

Can I choose a different issuing state per deal?

No. The issuing state is set when the deal is created, based on your Default issuing state in Deal defaults. There's no per-deal override in the deal.

Who can download these forms?

Any signed-in user on your dealership account. There's no extra role to enable and it's available on every plan.
