The audit log
See who changed what and when across your dealership, filter by staff, action, entity, or date, and drill into one record's full history.
The audit log is a running, tamper-evident record of every state-changing action on your account — vehicle edits, status changes, payments, document uploads, and more. Use it to answer "who changed this, and when?"
Every state-changing action in the app is recorded automatically — you never have to turn this on or log anything by hand. The page just reads back what was already recorded.
Open the audit log
- In the left sidebar, find the Compliance group.
- Click Audit log.
You land on a table of recent activity, newest first, 50 entries per page.
Read the table
Each row has five columns:
- When — the date and time the action happened, in your local time.
- Who — the staff member's name, or System (an automated job), Visitor (someone on your public storefront), or Support (AutoDealer.io support acting on your account). If the action was taken by a teammate whose account has since been removed, it shows Former staff.
- Action — what happened, in plain language where available (for example, "Vehicle status changed" or "Payment recorded").
- Target — the record type and a short id. Click the id to open that record's full timeline.
- Detail — a short summary of what changed, such as a
before → afterdiff or a few key facts.
Move between pages with ← Prev and Next →. The line above the table shows which entries you're viewing (for example, "1–50 of 312 entries").
Filter the log
The filter bar sits above the table. Set any combination, then click Apply filters.
- Search — type any text. It matches the action, the target id, or the entry's saved details (case-insensitive, partial matches work).
- Actor type — narrow to Staff, System, Visitor (public site), or Support (impersonation).
- Staff member — pick one person to see only their actions.
- Action — choose a specific action your dealership has actually recorded.
- Entity type — choose a record type (for example, vehicle, deal, or lead) your dealership has recorded.
- From / To — set a date range.
- Click Apply filters.
Your filters live in the page URL, so a filtered view is shareable and the browser Back button works. Once any filter is set, a Clear all button appears next to Apply filters to reset every filter at once.
The To date is inclusive — it covers the entire day you pick. So setting From and To to the same day shows everything that happened on that one day.
See one record's full history
- In the Target column, click the short id link next to the record type.
- The Timeline page opens, showing every recorded event for that one record, oldest first — so it reads like a story from creation onward.
- Click ← All audit entries to return to the main log.
A single record's timeline shows up to 500 events for that record.
Exporting
The dealer audit log does not have a download or export button. You can filter and read entries on screen, but there is no self-serve CSV export of your own audit log today. If you need a copy for a dispute, lender, or examiner, contact AutoDealer.io support.
FAQ
Who can see the audit log?
Any signed-in member of your dealership can open it. There's no separate role or permission to grant — it's a shared, read-only record of your own dealership's activity, visible to every role.
Can anyone edit or delete an entry?
No. The audit log is read-only and tamper-evident. Entries are written automatically by the app, and there's no way for staff to change or remove them from this page.
Why does a row say "Former staff"?
That action was taken by a staff member whose account has since been removed. The action is still recorded; we just no longer have a current name to show, so we label it "Former staff."
What does "System" or "Support" mean in the Who column?
System is an automated job — for example, a scheduled task or a webhook updating a record. Support means AutoDealer.io support acted on your account (impersonation), which is itself recorded so you can see exactly what was done.
I can't find a recent change. Where is it?
Check three things: your date range (the To date covers the whole day you pick), any actor or action filter that might be hiding it, and the page you're on. Click Clear all and search again. The newest entries are always at the top of page 1.
Does the search box look inside the details of a change?
Yes. The search matches the action name, the target id, and the saved details of each entry, so you can paste an id or type a keyword and find related activity.
